Most business owners today use an email address through their domain name. There are certain challenges that can happen when working with email in this manner. One of the primary concerns is not losing your email. This is typically not a big risk, though if you are looking to switch servers it can become a problem. The following are some steps and tips on how best to manage your email for your website.
1. Maintain an offline copy of all of your emails.
If you are using a program like Microsoft Outlook, Windows Mail, or Mail for Mac you are already downloading your emails from the Internet onto your computer.
2. Use a separate mail services provider.
One of my favorites is Google Apps. It allows you to set up your email address through Gmail. It currently offers 7gb+ of space for your mail. There is a limit of 10 email addresses you can set up with this account.
With this you can leave a copy of your email online and a copy on your mobile device or pc. It also makes it easy to transition between hosting accounts because this is a third party host for your email.
3. Keep backups.
If you are like most of us, we don’t think about all of the preventative measures we should take with much of what we do. Emails keep a record of a huge part of our life and the potential of losing it can be catastrophic. By keeping a record on your computer and running backups on a normal basis you can prepare for the worst both for your email and for the rest of the files on your computer.
4. Some things you might not know about email.
There is an option in most mail programs that will allow you to keep a copy of your emails on the server. This will allow you to have remote access to your email should you ever need it. There are also settings that allow you to delete emails on the server that you have deleted on your computer.
